How Hearth Agency LLC handles personal information collected through hearthagency.io and the signed-in surfaces this site opens. Last updated August 13, 2026.
Who we are
Hearth Agency LLC, Richmond, Virginia.
This policy covers hearthagency.io, the signed-in workspace at /workspace, and the free firm platform the site points to. Hearth Agency LLC designs productized advisory work that CPA and EA firms deliver under their own brand. Tax architecture, tax preparation, accounting, and bookkeeping are delivered through McGee's Consulting LLC. Hearth Agency LLC is not a law firm, CPA firm, or registered investment advisor.
Questions about this policy go to inquiry@hearthagency.io. Mail reaches Hearth Agency LLC in Richmond, Virginia.
What we collect
What you give us, what an account holds, and what the server sees.
We collect only what the surface you are using needs. We do not ask for a Social Security number on this marketing site.
Intake and contact
The /start form collects your first name, last name, email, phone if you add it, and whatever you write. Partner, booking, and firm-pilot intents are stored with the submission so the reply is aimed at the right person. A hidden website_url field is a spam trap; people never fill it.
Accounts
Creating an account on the workspace or the free platform uses Clerk. We hold the name and email on the account, and the work you enter after you sign in: client facts for a report, calculator inputs, and related records.
Purchases
Buying a HearthRC Defense report goes through Stripe. Stripe processes the card. We keep the order (which report, the amount, and the account it belongs to). We do not store full card numbers.
Automatically collected
Our host (Vercel) records ordinary request logs: IP address, browser, pages requested, and timestamps. These exist to run and secure the site, not to build a marketing profile.
How it's used
To reply, to do the work, and to keep the systems honest.
We do not sell personal information. We do not use the contents of a tax return, a source document, or a working paper to train a model. AI tools that touch workflow data are listed by category on the AI disclosure page. Output that carries professional weight is reviewed by a named professional before anyone relies on it.
Tax material
Returns and source documents stay on their own plane.
Tax returns, W-2s, 1099s, K-1s, bank statements, and working papers live in the professional firm's controlled environment: McGee's Consulting or your firm's own tax stack. They do not sit in the marketing-site form, and they do not sit in HighLevel. Nothing in that class moves without a purpose-specific consent under IRC §7216. The security page is the published map.
Cookies and measurement
No analytics is running. Form tracking waits for a yes.
This site does not currently run analytics of any kind. There is no Umami, Plausible, Google Analytics, or advertising pixel on hearthagency.io today. If we add cookieless measurement later, this section and the cookies page will name the tool before it runs.
The site sets no cookies until you choose on the banner. Accept and a LeadConnector script loads so a form submission can be connected to the page that brought you in. That script sets attribution cookies. Decline and the script never loads. Your choice is stored in your browser, not on our servers. Reset it from the cookies page.
How long we keep it
As long as the work or the law needs it.
Intake records stay long enough to reply and to keep a business record of who asked. Account and purchase records stay while the account is open and for the period our tax and professional recordkeeping requires after it closes. Calculator runs stay with the account that made them. When a record is no longer required, we delete or de-identify it.
Your choices
Ask, correct, or delete.
Email inquiry@hearthagency.io to see what we hold about you, correct it, or have it deleted. We will verify the request belongs to you. We may keep a record we are required to keep for an active engagement, a purchase, or the law.
If you have an account, you can also update the profile fields the product exposes. You can close an account by asking us.
California residents have rights to know, access, correct, and delete personal information, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are used in California law. We will not treat you differently for exercising those rights.
This site is aimed at U.S. firms and U.S. residents. If you use it from elsewhere, you understand the information is processed in the United States.
Children
This site is for adults acting for a firm or a business.
It is not directed at children under 13, and we do not knowingly collect personal information from children. If you think we have, write inquiry@hearthagency.io and we will delete it.
Changes
Updates land on this page.
If the policy changes in a material way, we update the date at the top of this page. Keep using the site after that date and the new policy applies to information we collect from then on.
Questions about your data?
